Office space requirements are calculated based on headcount, work style, common area needs, and local real estate standards. Getting the calculation right prevents both overcrowding (which kills productivity) and overpaying for unused square footage.
Core formula: Total Required Space (sq ft) = Employees × Space per Person + Common Area Allowance
Space per person benchmarks (U.S. standards):

Common area multiplier: Shared spaces (conference rooms, reception, kitchen, restrooms, hallways) typically add 30–50% to the raw desk space requirement. Total = Desk Space × 1.35 to 1.50
Monthly cost formula: Monthly Rent = Sq ft × Monthly Rate per Sq ft U.S. average office rents (2025): $20–$65/sq ft/year ($1.67–$5.42/sq ft/month) depending on city and building class.
Space per employee by work model:
- 100% in-office: 125–150 sq ft/person (full allocation)
- Hybrid (3 days/week): 75–100 sq ft/person (hot desks)
- Hybrid (2 days/week): 50–75 sq ft/person
- Remote-first (occasional visits): 25–50 sq ft/person
Worked example: 50-person company, hybrid 3-days/week model, Class B office space in Austin, TX ($35/sq ft/year). Desk space = 50 × 90 sq ft = 4,500 sq ft With 40% common area: 4,500 × 1.40 = 6,300 sq ft Annual rent = 6,300 × $35 = $220,500/year ($18,375/month)
Rule of thumb: Total occupancy cost (rent + utilities + furnishings) averages $10,000–$20,000 per employee per year in major U.S. markets. Hybrid models can cut this by 30–40%.
