Age Group is the most important factor in portion sizing. Toddlers aged 2 to 4 eat roughly half of what older children consume. They need smaller portions and simpler foods. Kids aged 5 to 8 have moderate appetites and are the standard baseline for party food calculations. Tweens aged 9 to 12 eat nearly as much as adults and often want second helpings, so plan for 25 to 40 percent more food per child compared to the 5-to-8 group.

Party Duration affects total consumption. A short 1 to 2 hour party may only need snacks and drinks. A 3 to 4 hour party usually requires a full meal plus snacks. Longer parties of 5 or more hours may need both a meal and additional snack rounds. The general rule is to add one extra snack round for every 2 hours beyond the initial 2 hours.

Meal Type determines the food categories:

  • Snacks only includes chips or crisps, fruit portions, and juice boxes or drinks. This is suitable for short parties or as supplementary food.
  • Lunch or dinner adds pizza slices or sandwiches as the main course, providing a filling meal alongside snacks and drinks.
  • Full party with cake includes everything above plus cake servings and often additional treat bags or dessert items.

Standard portion estimates per child (for ages 5 to 8):

  • Pizza: 2 slices per child (about 200 grams or 7 ounces of pizza)
  • Juice boxes or drinks: 2 per child for a 2-hour party, plus 1 additional per extra hour
  • Chips or crisps: 1 small bag (about 28 grams or 1 ounce) per child
  • Cake: 1 standard slice per child (typically a 20 cm or 8-inch round cake serves 10 to 12 children)
  • Fruit: 1 portion per child (about 80 grams or 3 ounces, such as a small cup of mixed berries or melon)

Practical tips: Always order 10 to 15 percent more than the calculated amount to account for spills, dropped food, and hungry siblings or parents. Keep allergen-free options available. For pizza, ordering a mix of cheese and pepperoni covers most children’s preferences.
