Wedding Transportation Calculator
Calculate vehicles needed, trips, and costs for wedding guest transportation based on distance and vehicle type.
The Wedding Transportation Calculator helps you plan how to get your guests between venues (ceremony to reception, hotel to venue, etc.) efficiently and within budget.
How the calculation works:
Vehicles Needed = Guests Needing Transport / Vehicle Capacity
Total Trips = Vehicles Needed × Round Trips
Estimated Cost = Vehicles Needed × Hours × Hourly Rate
Where vehicle capacity and hourly rates vary by vehicle type.
Vehicle types and typical capacities:
| Vehicle | Capacity | Hourly Rate (USD) | Best For |
|---|---|---|---|
| Sedan | 3 passengers | $50-75/hr | VIPs, bridal party |
| SUV | 5-6 passengers | $65-95/hr | Small groups, family |
| Shuttle bus | 24-30 passengers | $100-175/hr | Large guest groups |
| Party bus | 20-40 passengers | $150-300/hr | Fun group transport |
| Stretch limo | 8-10 passengers | $100-200/hr | Bridal party, VIPs |
Distance considerations: The distance between venues affects both the time needed and the feasibility of multiple trips. For distances under 5 miles (8 km), a single shuttle bus can potentially make 2-3 round trips. For distances over 15 miles (24 km), you generally need enough vehicles to transport everyone in a single trip, as round trips would take too long.
Typical travel speeds:
- Urban areas: 15-20 mph (24-32 km/h) average with traffic
- Suburban areas: 25-35 mph (40-56 km/h)
- Rural/highway: 40-55 mph (64-88 km/h)
How many guests need transport? Not all guests will need arranged transportation. Typical estimates:
- Out-of-town guests: Most will need transport (80-100%)
- Local guests: Fewer need transport (20-40%), though having a shuttle reduces drunk driving risk
- Bridal party: Always arrange dedicated transport
Cost-saving tips:
- Book shuttle buses for large groups — they are far more cost-effective per person than sedans or limos.
- Choose venues close together. Even 5 extra miles (8 km) adds significant cost when multiplied across multiple vehicles.
- Coordinate hotel blocks near the venue so most guests are at one pickup point.
- Ask your venue if they have transportation partnerships or preferred vendors for potential discounts.
- Book early. Wedding transportation vendors often charge premium rates for last-minute bookings, especially during peak wedding season (May through October).
Timing considerations: Allow buffer time for loading and unloading passengers, unexpected traffic, and photo stops. A 15-minute drive should be budgeted as 30 minutes when planning your timeline.
Minimum booking requirements: Most transportation companies have a minimum booking of 3-4 hours. Even if you only need the vehicle for transportation between two venues, you may be charged for the minimum. Use the extra time for getaway car service or photo transportation.
Distance units: This calculator supports both miles and kilometers. In the United States, most wedding venues list distances in miles. In most other countries, kilometers are standard.
- 1 mile = 1.609 kilometers
- 1 kilometer = 0.621 miles
