Print job cost estimation combines material costs (paper, ink/toner) with equipment overhead and labor to arrive at a total cost per page and per project. Print shops use this formula to set pricing; individuals and small offices use it to compare in-house vs. outsourced printing.
Cost per page formula: Cost per Page = (Ink/Toner Cost ÷ Page Yield) + (Paper Cost ÷ Sheets per Pack × 500)
Or more precisely: Cost per Page = Cartridge Cost ÷ Rated Page Yield + Paper Cost per Sheet
Total print job cost: Total Cost = (Cost per Page × Number of Pages) + Setup Costs + Labor
Color vs black-and-white cost breakdown:
- Black-only page = black cartridge cost per page + paper
- Full-color page = black + cyan + magenta + yellow cartridge costs per page + paper
- Color pages typically cost 3–8× more per page than monochrome
What each variable means:
- Page Yield — manufacturer-rated number of pages per cartridge at 5% page coverage (standard test). Real-world yield at higher coverage is lower.
- Coverage percentage — a text-heavy page ≈5–10%; a photo page ≈40–80%. Higher coverage depletes cartridges faster.
- Paper cost — standard 20-lb bond (copy paper): $0.004–$0.008/sheet. Photo paper: $0.25–$1.50/sheet.
- Setup costs — design, prepress, plate-making (offset printing). Irrelevant for digital inkjet/laser.

Worked example: Cartridge cost: $28.00. Rated yield: 2,000 pages at 5% coverage. Paper: $0.005/sheet. Job size: 500 pages, black-and-white.
Ink cost per page = $28.00 ÷ 2,000 = $0.014/page Paper cost per page = $0.005/page Total cost per page = $0.014 + $0.005 = $0.019/page Total job cost = $0.019 × 500 = $9.50
Commercial print quote for the same job: $0.08/page × 500 = $40.00 — in-house printing saves $30.50 on this run, offsetting printer depreciation quickly on high-volume work.
